2019/2020 Annual General Meeting
Dear 2019/2020 Wolves member families,
You are invited to register for the Whitby Girls Hockey Association Annual General Meeting on October 29th at 7:30 pm. This AGM is open to all of the 2019-2020 membership. Please use the link below to submit your interest in attending. Once you have been verified, you will receive the link to the meeting. Please register by Sunday October 25, 11:59 pm.
REGISTRATION FORMThe following motions have been put forth and seconded by the Board for vote at the AGM:
Motion #1: “That Section 4.01 of the WGHA constitution be amended to remove the Treasurer position and replace it with a Director Player Safety”.
That Section 4.09 Duties of Treasurer be deleted.
Rationale: The requirements of the Treasurer role to be a registered CPA has resulted in this role being left open for a number years. The treasurer position has evolved to an oversight role as the association has retained the services of an accountant to handle the finances for the WGHA. Financial oversight of the WGHA is to be addressed through the establishment of a Finance Committee to review the finances of the association over the course of the season. The WGHA executive is in need of positions to assist in the day to day operation of the association and the recent Covid-19 pandemic has clearly shown the need to create a position to address player safety and to support our volunteer training staff. This change will also attract a wider range of members who wish to volunteer with the WGHA executive.
Forwarded by the President, seconded by the Secretary.
Motion #2: "That Section 5. Committees of the WGHA Constitution be amended to add the Finance Committee to the list of required committees".
Rationale: In support of the motion to delete the Treasurer position from the WGHA constitution the establishment of a Finance Committee will ensure that additional oversight of the WGHA finances will be completed over the course of the season and shall report back to the WGHA executive.
Forwarded by the President, seconded by the Secretary.
Motion #3: “That the WGHA website reserve fund be eliminated and the funds be placed in the WGHA general account to be used for other purposes.”
Rationale: The website development fund was put in place by a previous executive board in anticipation that the WGHA would need to retain a designer to develop a new website. The WGHA website is now provided by MBSportsweb which uses a standard template for websites that many associations use. The funds that the WGHA allocated for a website developer are no longer necessary.
Forwarded by the President, seconded by the Secretary.
